Parts Overview

All things Parts in the Builds Module including Adding, Editing, Review and Release, Requesting Purchase and more.

Add a New Part to Parts Dictionary

Parts need to be added to the Parts dictionary before they are able to be checked in to Inventory.

In the Parts section of the Builds module, click New Part in the top right corner. If your team has defined more than one part form, New Part offers a choice of form.

Each form shows its own set of fields. With a single form, it is used automatically. (See Part Forms below.)

When adding a new part:

  • Add an image for your part (optional)

  • Enter a Part Number (required)

  • Enter a Revision (required) for version control

  • Enter a Name (required)

  • Select a Project (optional)

  • Enter a Description (optional)

  • Select Tracking: Serial #, Lot #, or No Tracking (Note: this only creates the part in the dictionary not inventory so you won't enter Lot or Serial #s here)

  • Unit Price: enter the part's unit price (optional)

  • Procurement Type: set how the part is sourced. Make, Buy, or Make/Buy

  • Units: select the part's unit of measure

  • Enter an Inventory Threshold (optional)

  • Fill in any custom part details included in the form

  • Add Attachments (optional)

  • Under Procedures, link one or more procedures for the part (optional) via Add Procedure

  • Under Usage Types, add a usage type to track part usage (optional) via Add Usage Type

  • Under Components, if the part is a larger assembly, add sub-component parts via Add Part (select the part, then enter the quantity; sub-component parts must already exist in the dictionary to be listed)

  • Click the Save icon in the top-right corner

Note: Part #, Revision, and Name are required fields.

The part is now available in the Parts dictionary list with on-hand inventory count:

Part Details Page

Once a part has been added, click its Part Number on the Parts screen to open the Part Details page. Use the Revision selector at the top to view a specific revision.

A panel on the left remains visible across all tabs and displays the part's key attributes:

  • Image, Part Number, and Name (an assembly icon appears if the part is an assembly)

  • Project and Procurement (Make / Buy / Make/Buy)

  • Tags

  • Tracking (Serial, Lot, or None)

  • Details: additional attributes and any custom fields

  • Comments: add and view comments (associated with the selected revision)

What appears in this panel, and where, is set by the part's form. The arrangement described here is the default. (See Part Forms below.)

The page is organized into five tabs:

  • Details: the part's Description, Attachments (drop files), and Usage types.

  • Components: the part's bill of materials: each component's Part, Project, quantity Needed, and In Inventory count (a red warning appears when on-hand inventory is short). Expand a component to see subassemblies. A 'Where Used' section lists the assemblies that use this part.

  • Work Instructions: the procedures linked to the part, listed by Type and Occurrence (for example, BOM, Check-In, Check-Out, Kitting, Usage). Click Edit to manage them.

  • Inventory: a live inventory grid for this part. Search inventory and filter by Location, Status, or Maintenance. Select items to Move Location, Check Out, Check In, Mark Sold, Log Maintenance, Uprevision, Copy Details, or Export. Columns include Part, Tracking /Creation Date, Project, Quantity, Units, Status, and Location.

  • Maintenance: maintenance schedules for the part (Name, Start Date, Recurrence, Procedure). Add one with + Maintenance Routine

Part Forms


A form is a saved field layout for parts. It controls which system and custom fields appear on the Part Details page and where they sit. Purchase Orders and Work Orders use the same system.

Forms are managed under Builds Settings > Configuration > Forms, where they are grouped by entity type.

Under Part, select a form to view it, then use Edit layout to change it, or Reset to Default to restore the original arrangement.

You must have a role with Admin: Manage Custom Field Settings permissions to reach Forms.

Editing a layout

In the layout editor, you can place, move, and resize blocks across the main and side regions, remove a field the team does not use, and add an existing custom field with + Field. Required system fields cannot be removed.

The left panel and the Details tab on the Part Details page both render from the saved layout, so a change applies to every part using that form.

Using more than one form

A team can define more than one part form, so different kinds of parts show a tailored set of fields. Give each form a name and an icon. When more than one form exists, the New Part button offers a choice between them, as described above.

The form used by an existing part can be changed later.

Auto-Generate Part Numbers

Roles with Admin: Manage Builds Settings permissions can enable Auto-increment part numbers by clicking the gear icon next to Builds, then Numbering, then toggling this on for Parts. Next, select one or more Prefixes plus the Delimiter and Offset used whenever your team auto-generates a new part number.

Part numbers support multiple 3-character prefixes and an optional hyphen delimiter; the valid range is 100000 – 100000000000.

TIP: Always Save changes to Parts Numbering before editing Inventory Numbering settings.

Once this setting is enabled, + New Part will all have a button in the Part Number input field to auto-generate the next serial.

Every newly added part will be given a unique part number.

Finding and Organizing Parts

The toolbar at the top of the Parts screen helps you quickly locate and organize parts:

  • Search Parts: use the search bar to find parts across your entire dictionary by part number or name. Search runs across the full parts list (not just the parts currently loaded onscreen), so results stay fast even in large workspaces.

  • Filters: narrow the list by Projects, Tags, Tracking Type, Preferred Vendors, Procurement, Subscriptions, or Warnings.

  • Group: group the list by Project, Procurement Type, or Preferred Vendor.

  • Saved Views: save your current search, filters, and column settings as a Saved View you can switch between and optionally publish to your team (see Save Views).

  • List / Assembly view: toggle between the flat Part List and the Assembly (tree) view using the icons at the far left

Part Assemblies

Parts can be marked as Part Assemblies by clicking the 3-dot menu on the Part Detail page and selecting Mark as Assembly.

A part that has been marked as an assembly will have a comprehensive component tree of assembly parts, enabling quick visualization and searching of the entire part build.

An assembly icon will display on the Part Detail screen for parts that have been marked as assemblies.

To remove the assembly designation, click the 3-dot menu again and select Unmark as Assembly.

  • Any Assemblies/ Components live under the Components tab on the Part Details page

Super BOMs

In addition to fixed components, Assemblies can be configured to have variable components / multiple component variants.

In Part Edit for a new or existing part, add a component and then use the 3 Dot menu on the right to add part variants.

A variable component must have at least 2 variable components. Enter a name for the variable component to be displayed in the run.

The previously entered component will be listed as the default. Click Add Variant to add more component variants.

Parts can have a mix of fixed and variable components.

The BOM and Check Out step out will be populated in the run based on those selections.

Work Orders for parts with variable components in their BOM will allow user to select specific variants for the part eBOM configuration during the work order planning phase by clicking the pencil icon. The default values will be populated automatically.

Click the check mark to save.

Build runs started for work orders will automatically start with selected variants.

Reference Designators

Reference designators allow teams to define install locations for component parts within an assembly.

In an Engineering Bill of Materials (eBOM), reference designators identify where a quantity of a part is intended to be installed. This provides additional assembly context beyond the part number and quantity alone.

Reference designators can also be mapped to a part model or schematic, providing a visual representation of component locations and, for As Built inventory, installation status.

Reference designators are organized into two levels: labels and groups.

A reference designator label is the individual identifier for a location, such as FL, FR, RL, or BAT1.

A reference designator group represents the actual install location assignment for a quantity of a component part. A group can contain one or more labels depending on how the component is installed in the assembly.

For many electronics and PCB workflows, each component quantity is typically installed into a single location, so a group often contains only one label. For example:

  • FL

  • FR

  • BAT1

In other assemblies, a single installed component may span multiple install locations simultaneously. In those cases, multiple labels can be combined into a single group. For example:

  • FL, FR

  • RR, RL

This allows the BOM to represent components that physically connect across multiple designated locations while still tracking them as a single installed quantity.

Configuring Reference Designator Groups

Reference designators are configured directly within the Components section of an assembly BOM.

Each component row displays the part, revision, quantity, and unit of measure. Under the component entry, the Reference Designator Groups section is used to define install groupings for that part.

For example, a motor assembly with a quantity of four may contain four separate groups:

  • FL

  • FR

  • RL

  • RR

In this configuration, each installed motor corresponds to a single install location.

Other components may use grouped labels. A vibration damping foam component with a quantity of five square inches may contain two install groups:

  • FR, FL

  • RR, RL

Each group represents a specific installed quantity associated with multiple install locations.

The assigned and unassigned counters track how much of the component quantity has been allocated across reference designator groups. Quantities can be distributed unevenly between groups when needed, depending on the assembly requirements.

Additional groups can be created using the Add Ref Des Group action beneath the component.

Using Reference Designators in Builds

Reference designators are supported throughout the Builds workflow so location-based install information can move from engineering definition through execution and traceability.

Reference designators can be:

  • Imported through Parts CSV import workflows

  • Managed through the Parts and Inventory API

  • Used with the Add Inventory content block during execution

  • Displayed in the View Bill of Materials content block

  • Edited in the Parts Detail and Edit interface

  • Edited in the Inventory Item Detail and Edit interface

During execution, procedures using the Add Inventory content block can associate installed inventory item tracking IDs with specific reference designator groups.

This creates a detailed As Built Bill of Materials (aBOM) record showing exactly which serialized or tracked inventory items were installed into each defined location.

Reference Designators in the eBOM and aBOM

The eBOM defines the intended assembly configuration, including the expected install locations for each component quantity.

The aBOM captures the completed build configuration, including the specific inventory items and quantities installed into each reference designator group.

This structure improves traceability by connecting planned install locations with actual installed hardware, making it easier to review assembly configuration, validate builds, and maintain historical installation records across revisions and production runs.

Model / Schematic Viewer

Parts can include a dedicated model or schematic that provides a visual representation of the assembly and its component locations.

Reference designators from the part's Bill of Materials can be placed directly on the model, allowing users to quickly identify where components are intended to be installed.

When the same model is viewed from an As Built inventory item, those annotations also provide a visual indication of installation progress, making it easy to identify components that are fully installed, partially installed, or still missing.

Attach a Model or Schematic to a Part

A model or schematic can be added to the current revision of a part from the Components tab of the Part Detail screen.

Under Model / Schematic, upload the file that should represent the part or assembly.

Supported formats include STEP/STP, IGES/IGS, STL, OBJ, 3MF, and image files, with a maximum file size of 50 MB.

Only one model or schematic can be associated with a part revision at a time.

Uploading a new file replaces the existing model. If reference designator locations have already been placed on the existing model, replacing the file clears those annotations so they can be mapped again on the replacement file.

The model is associated with the part revision rather than an individual inventory item. Inventory created from that part uses the same model automatically as a read-only preview.

The Components tab includes a dedicated Model / Schematic area for the part revision.

Open the Model / Schematic Viewer

Click the uploaded file under Model / Schematic to open the viewer. The viewer displays the part's reference designators on the left and the model or schematic on the right.

For 3D models, use the viewer to orbit, pan, and zoom around the assembly to inspect individual component locations. Image-based schematics use the same reference designator workflow, allowing locations to be annotated on a flat drawing instead.

Reference designators shown in the viewer are populated from the fixed component configuration in the part's BOM.

Place Reference Designator Annotations

Reference designators can be mapped to specific locations on the model so users can visually identify where each component belongs.

Select a reference designator from the list on the left. The selected designator enters placement mode. Click the corresponding location on the model or schematic to place the annotation.

Continue selecting and placing reference designators until the required component locations have been mapped, then save the changes.

The list and model remain linked. Selecting a designator highlights its marker, while interacting with a marker identifies the BOM component or components assigned to that location.

Open the Model / Schematic viewer to map reference designators to locations on the model.

Review Components Assigned to a Location

Expand a reference designator in the left panel to view the components associated with that location. The component list shows the required quantity, part number, and revision for each mapped component.

A reference designator can represent more than one component type or quantity. For example, the same physical location may include a motor assembly and a specified quantity of vibration damping material. These requirements remain grouped under the shared reference designator.

Expand a reference designator to review the components and quantities associated with that location.

Move or Remove a Reference Designator

To change a mapped location, select the reference designator and place it at the desired position on the model.

To remove a location from the schematic, use the delete icon next to the reference designator. Removing an annotation does not remove the reference designator or component configuration from the BOM; it only removes its visual mapping from the model.

Reference designator annotations can only be added or edited on the part's current revision. The visual mappings carry forward with the part across revisions.

View Installation Status on an As Built Item

When the model or schematic is opened from an As Built inventory item, the viewer becomes a read-only representation of the actual assembly state.

Each reference designator compares the component requirements defined by the part with the components currently installed on that inventory item.

Markers are color-coded to show installation status:

  • Green indicates that the required component quantity is fully installed

  • Amber indicates that some but not all of the required quantity is installed

  • Red indicates that none of the required quantity has been installed.

The reference designator list displays the same status alongside the installed and required quantities.

For example

3.5 / 3.5 indicates that the complete required quantity is installed, while 2.5 / 3.5 indicates that the location is only partially complete.

Installation status is calculated automatically from the As Built BOM. There is no separate action required to mark a location complete within the viewer.

See Installed and Missing Components

Expand a reference designator while viewing an As Built item to see exactly what contributes to its status.

Installed entries show the inventory item or quantity already associated with that reference designator. Missing entries show the component quantities still required to satisfy the eBOM configuration.

This makes the model a visual installation check: selecting a location identifies both what is expected there and what remains outstanding on the As Built item.

On an As Built item, reference designators show installation status and identify installed and missing components.

Model / Schematic Limitations

Model annotations and installation status are available for fixed BOM components. Variable or alternate component groups are not represented by reference designator pins in the viewer.

Annotations may only be modified on the part's current revision. Existing inventory items use the model as a read-only representation of their associated part configuration.

The Model / Schematic viewer does not include an exploded-view mode.

Part Revisions

View data for older revisions of a part in the Part Detail screen.

If there are previous revisions of the part available, the Revision number will have a drop down menu where previous revisions can be selected and displayed.

Component revisions can be locked to a specific revision of the parent part.

Other part data (images, attachments, linked procedure, etc) can also be revision controlled for each part.

Comments added will be associated to specific part revisions.

To enhance visibility and communication, you’ll also have the ability to tag and notify team members in your part revision notes.

Tags

Add one or more Tags to the Part Details screen. Create or add existing tags to any part to help organize across teams, missions, or projects.

Click the Add Tag button to add tag from the drop down of existing Part tags, or type in a new tag and click create.

Filter by tags in the Parts List.

Custom Fields

Custom field definitions are created centrally, under Settings > Configuration > Fields & Lists or from Builds Settings > Configuration > Custom Fields.

To make a field appear on parts, add it to a part form with + Field.

You must have a role with Admin: Manage Custom Field Settings permissions

When creating or editing a part, the custom fields included in that part's form are shown.

The Part Details page shows the fields in the part's form layout, whether or not a value has been entered. Values are edited inline on the page.

A custom field marked Required must have a value before the part can be saved.

When a custom field name is edited, it is automatically updated for every part.

Inventory Threshold

Set a threshold for when inventory for a part should be considered low in the part’s detail screen.

When inventory drops to the threshold amount or lower, part detail screen will show a warning indicating inventory is low.

This will also be displayed on the Parts screen.

Projects

Parts can be organized into projects to help easily group them and control access with project based permissions.

Inventory items and issues created from parts with projects will inherit the project’s access and permission settings.

Select a project when adding or editing a part or directly from the parts detail screen.

Parts can only be associated with one project

When adding or updating a project on a part, you will see a warning that this will update the project for the part, part revisions, and inventory items.

The Parts screen will display which project the parts are in, and can be sorted and filtered by project.

Parts that are in projects the user does not have access to will not be displayed (when workspace access level is set to NONE)

Any parts the user does not have access to will appear as restricted throughout the rest of the application.

For example: If there is a restricted part on a PO, the part will display as restricted as well as the quantity, unit cost, and PO total.

Inspection Procedures

An Inspection Procedure is a procedure with a batch check-in step that can be associated to a specific part so that when the part is received in a shipment, the system will enforce running the Inspection Procedure before the items can be moved into inventory.

This ensures quality control validation occurs for designated parts during the receiving process.

To create an Inspection Procedure, ensure there is a batched step that contains a Parts for Check-In content block.

Add the Inspection Procedure to the Part Detail screen under Procedures by selecting Inspection in the Procedure Type drop down menu. The chose a procedure from the Procedure drop down menu.

Only procedures with a batch check-in step can be set as an Inspection.

When receiving shipments with those parts (See Track and Receive Parts from Vendors) start the Inspection Procedure from the line item on the shipment.

Items where the batched check-in step is checked in and signed off will automatically be marked as Received and added to Inventory.

Items where any of the batched steps are failed but the check in step is signed off will automatically be marked as Received however they will be added to inventory with the status of Rejected.

If the check-in step is skipped or failed, the items will not be checked into inventory, but the Rejected count in the shipment will be incremented.

Part Review & Release Settings

Like Procedures, Parts can also be reviewed before being modified or released.

To enable this for your workspace, click the gear icon next to Builds, click Reviews, and then toggle on Review Cycle Enabled.

Click + Add Review Type under Parts to add a Review Type and one or more Labels (i.e review stage names) with assigned reviewers. Click Save.

Now, once a Part is added or modified, the Draft will need to be submitted for Review.

The Part will then be in a review state. Reviewers will be notified.

The Part will only be added or revised once it's been reviewed and released by all assigned reviewers.

Import Parts

Parts can also be imported using a CSV file by clicking Import Parts on the Parts screen.

Note: Columns 'Part Number,' 'Name,' and 'Rev' are required. 'Parent Part Number' and 'Quantity Needed' are only applicable if the part is used as a component of another part. Parts can be repeated in multiple rows if used as a component in multiple parts.

The CSV can also carry a Form column naming the form each part should use.

Parts Purchase Request

Purchase requests allow operators to flag parts that need to be ordered for upcoming or current builds, tests, or projects.

This feature helps teams communicate procurement needs early, track requests in one place, and ensure the right parts are ordered on time.

Submit a Purchase Request

To submit a Purchase Request, navigate to the Parts list in the Builds module, and locate the Part needed.

Click the 3 dot menu on the right side of the part line.

Select Request Purchase.

Fill out the details in the modal.

Review Purchase Requests

Purchase Requests can be viewed on the Requests tab of the Purchasing module.

Check the box next to the desired item(s) to either Add to PO or Reject the request.

Add to PO allows you to add the items to an existing open PO or create a new PO.

Create or Edit the PO details as needed.

Once the item or items have been added to a PO, the status of the request will be approved and a PO will be linked.

To reject, select the item or items and click Reject.

The status will change to rejected.

Customize Columns

The columns displayed on the Parts list screen can be customized to hide or display desired columns.

Click the icon to select which columns to display.

Check or uncheck the boxes to display or hide the columns.

Column Options:

  • Part

  • Project

  • Rev

  • Inventory

  • Warehouse

  • Any Custom Fields

The setting is per user and will remain until changed, including after log out.

Clicking Reset Columns sets all columns to display.

Inventory Demand Planning and Warnings

The Parts grid in the Builds module includes additional demand-planning insights to help teams understand inventory usage patterns, anticipate shortages, and plan reorders more effectively. These enhancements surface key metrics directly in the Parts list so teams can act quickly without exporting data or manually calculating demand.

New Demand and Supply Columns

Several new columns are available in the Parts grid to provide visibility into current and future inventory needs.

Current Demand shows how many units of a part are currently required across open work, helping teams understand near-term demand.

On Order reflects quantities already included on open purchase orders, giving visibility into incoming supply.

Avg Monthly Demand calculates the average rate at which a part is consumed over time, providing a baseline for forecasting.

Demand Shortfall highlights the gap between available inventory plus incoming supply and expected demand.

Days to Stockout estimates how long current inventory will last based on historical usage trends.

Est. Reorder Date suggests when a reorder may be needed to avoid running out of stock.

Together, these columns allow teams to evaluate supply health at a glance and prioritize procurement actions before shortages occur.

Save Views

Users can save search terms, filters, and custom column settings as Saved Views on all Builds screens.

Access and switch between views from the new dropdown in the top-left corner.

Click + Save View in the drop down to save a new view of the current settings.

Check the "Publish to Team" box to make the saved view available to others.

You must be a workspace Editor or Admin to publish a Saved View. Other users can view or apply the saved views, however only the original creator is able to make changes to the view.

Hover over an existing view and use the pencil and trash can icons to edit or delete the view.
