Files can be organized in custom folders, with sorting options available to keep everything well-structured. This provides all the typical features expected of file storage systems, such as easy management and retrieval.
Folders / Subfolders / Files
Navigate to the File Storage module.
Create new folders for better organization, and nest them as many layers deep as needed:
Click into a folder to open it, click the 3 dot menu next to a folder to rename or delete, and use the breadcrumbs to make navigating easy.
Use the 3 dot menu next to any file to Preview, Download, Rename, or Delete.
Check the boxes next to the file names to bulk move or delete.
Preview
Users can upload a variety of file types, such as CSVs, PDFs, images, and videos, and each file type is handled uniquely to maximize utility.
CSV
When a CSV is uploaded, the system automatically generates a plot view if the data within the CSV is suitable for plotting, allowing for immediate visualization of the data.
Videos
Videos can be previewed / played directly within the app, streamlining access to visual content without needing to leave the platform.
PDF files allow users to highlight lines of text and create requirements, adding a layer of interactivity and utility for reviewing documents.
Click on the pen icon to start or stop highlighting. Click the hamburger menu to view all highlights.
Highlighted text can be copied to your clipboard (1), used to create a requirement (2), or deleted (3).
Image Files
Image Files can be viewed and edited.
Edited Images are saved as a new copy.
.GIFs can also be previewed and edited.
Editing a .GIF will create a static image of the first frame for annotation.
Import PDF to Procedure via File Storage
Upload the PDF to File Storage
Start by going to the file storage area where you can conveniently upload your PDF document. This section is specifically tailored for managing files, helping you keep your documents in order. Ensure you choose the right PDF file from your device that you intend to upload.
Preview the PDF
After the PDF has been uploaded successfully, click on the PDF file to view it. This step is vital as it enables you to check the content and layout before moving forward with the conversion. Take your time to confirm that all details are correct and properly formatted, as this will influence the final result.
Convert PDF to Procedure
Once you have verified that the PDF is accurate, click the "Convert to Procedure" button to begin the conversion process. This action will commence the change of your PDF into a procedure format. Please be aware that this process might take some time, depending on the size and intricacy of the PDF document.
Check Conversion Status
After initiating the conversion, a notification will pop up on your screen indicating that the procedure is being processed.
When ready, the import will be on your notifications screen.
Just like with other imports, click into the notification to view the new procedure draft.
Review the Converted or Imported Procedure
Once the conversion is done, take the time to carefully examine the newly generated procedure. This step is crucial to ensure that all content has been imported accurately and that the formatting aligns with your expectations. Look for any inconsistencies or mistakes that may have arisen during the conversion process, and make any necessary changes.
Always review the procedure for correctness and as additional steps and content blocks, as needed.
This import method does support tables and attachments!
Sharing Files with External Users
Admins can securely share files stored in File Storage by emailing a direct access link to any user. Shared links provide controlled, time-limited access to individual files or folders and can be managed or revoked at any time from within Epsilon3.
This enables fast collaboration with external stakeholders while maintaining full visibility and control over shared content.
This feature can only be enabled by Org Admins as an Organization wide setting. Navigate to the Org Settings screen to enable External File Sharing via magic links.
Share a File via Email Link
To share a file from File Storage:
Navigate to File Storage from the left-hand navigation.
Locate the file you want to share.
Select the three-dot menu next to the file and click Share.
Enter one or more email addresses in the Invite Users field.
Click Send Invitation.
Each recipient receives an email containing a secure download link.
Accessing a Shared File
Recipients do not need an Epsilon3 account to access shared files.
From the email:
Click Access File to open the download page.
Select Download File to retrieve the file.
Manage Shared Links
Admins can view, deactivate, or reactivate file shares at any time.
To manage a shared file:
Open the file’s three-dot menu.
Select Manage Sharing.
From this modal, you can:
View who the file is shared with
See whether the link is active or deactivated
Review the activity log, including when the file was shared or accessed
Deactivate or reactivate the link instantly
Disable or Re-Enable File Access
If access is no longer needed, you can immediately revoke it by deactivating the share. Deactivated links no longer allow downloads but can be re-enabled later if needed.
This ensures admins retain full control over file access throughout the collaboration lifecycle.
Sharing Folders
Folders can also be shared using the same workflow as individual files.
When sharing a folder:
Recipients gain access to all files within the folder
Folder sharing can be managed or deactivated just like file sharing
