Acronyms Dictionary

Centralize your organization’s terminology by defining acronyms once and enabling instant, in-context lookups across procedures and workflows to keep operators focused and reduce execution errors.

The Acronyms Dictionary allows teams to define and manage organizational terminology in one centralized place and surface definitions directly within procedures and other areas of the application. Operators can instantly look up unfamiliar acronyms without leaving their workflow, reducing execution errors and improving clarity across teams.

Once enabled, any defined acronym can be highlighted while editing or running a procedure to display a tooltip with its definition and related context.


What the Acronyms Dictionary Is Used For

The Acronyms Dictionary is designed to:

  • Standardize terminology across teams and projects

  • Reduce ambiguity during procedure execution

  • Eliminate the need to reference external glossaries or documentation

  • Help onboard new users more quickly

  • Improve procedural accuracy by clarifying domain-specific language

Acronym lookups are available anywhere text appears in the application, including procedures, work instructions, and inventory-related views.


Accessing the Acronyms Dictionary

Acronyms are managed from workspace settings.
Settings > Acronyms

This page displays the full acronym glossary for the workspace.

You must be an Admin to add, edit, or delete Acronyms in the dictionary.


Acronyms Dictionary Table

The Acronyms Dictionary is displayed as a searchable table with the following columns:

  • Acronym
    The abbreviated term (for example, ADCS, ECLSS, EPS).

  • Definition
    The expanded meaning of the acronym.

  • Category
    A high-level classification such as Systems, Power, Missions, Programs, Reviews, Organizations, or other custom categories.

  • Description
    Additional context explaining how or where the acronym is used.

  • Updated
    Shows who last modified the entry and the date/time of the update.

The table can be searched using the search bar at the top of the page to quickly locate specific acronyms.


Add / Edit / Delete Acronyms

Acronyms can be added either manually or in bulk.

Add Acronyms Manually

  1. Navigate to Settings > Acronyms

  2. Click + Add Acronym

  3. Enter:

    • Acronym

    • Definition

    • Category

    • Description

  4. Save the entry

The acronym becomes immediately available for lookup throughout the application.

All fields are free type. Categories do not have to be defined in advance and can be unique or shared as desired.


Import Acronyms Using CSV

For larger glossaries, acronyms can be imported in bulk via CSV.

  1. Navigate to Settings > Acronyms

  2. Click Import CSV

  3. Upload a CSV file containing your acronym data

Imported acronyms are added to the dictionary and can be searched, edited, and used the same way as manually created entries.

Acronym and Definition are required fields in the CSV import. Category and Description are optional.


Editing or Deleting Acronyms

Each acronym row includes a three-dot menu on the right side.

From this menu, you can:

  • Edit an existing acronym

  • Delete an acronym from the dictionary

Changes take effect immediately across the workspace.


Using Acronyms

Once acronyms are defined, they can be referenced directly throughout the application.

Viewing Acronym Definitions

  • Highlight an acronym displayed in the application

  • If the acronym exists in the dictionary, a popup information card appears

  • The popup displays:

    • Acronym

    • Full definition

    • Category

    • Description

This allows operators to confirm meaning without leaving the procedure or interrupting execution.

Acronyms Not in the Dictionary

  • Highlighting text that is not defined in the Acronyms Dictionary does not display a popup

  • Only acronyms that exist in the dictionary generate a tooltip


Where Acronym Lookups Are Available

Acronym tooltips are available anywhere text appears in the application, including but not limited to:

  • Procedures and work instructions

  • Procedure steps and sections

  • Inventory and part-related views

  • Operational and execution workflows

This ensures consistent terminology access across all operational contexts.

Acronyms are not case sensitive and can used even if there is not space between the highlighted acronym and other characters.


Best Practices

  • Keep acronym definitions concise and unambiguous

  • Use categories to group related terminology for easier management

  • Regularly review and update acronyms as systems and programs evolve

  • Remove outdated or unused acronyms to avoid confusion
