Financials Module
Financials is available from the Builds section of the left navigation.
The Financials workspace is organized into four tabs: Invoices, Transactions, Ledger, and Reports. The header also provides Saved Views, search, filters, and page-specific actions.
Search, filter, and organize records
Use Search Financials to find records in the current Financials view. Use Filters to narrow results. On the Invoices tab, the available filters include invoice Status (Draft, Open, or Closed) and invoice Type (Accounts Receivable or Accounts Payable).
Use the table controls to customize visible columns. Financials grids also support reusable Saved Views and CSV export, which can be used to preserve recurring reporting or reconciliation layouts.
Set up customers and vendors before invoicing
Accounts Receivable invoices are linked to customers and Accounts Payable invoices are linked to vendors. Before creating an invoice, make sure the required trade partner exists in Builds Settings under Customers or Vendors.
Vendor records can include the vendor name, address, expected transit time, discount, rating, additional contact details, notes, and payment terms. Customer records serve the equivalent role for Accounts Receivable workflows.
Invoices
The Invoices tab provides a combined list of Accounts Receivable and Accounts Payable invoices. Each row can show the invoice number, type, vendor or customer, invoice date, due date, amount due, amount paid, payment status, and age.
Select an invoice number to open its detail page. Use the invoice list for day-to-day monitoring of open balances, overdue items, paid invoices, and aging.
Create an invoice
Select New Invoice from the top-right of the Invoices tab. The same workflow supports both Accounts Receivable and Accounts Payable invoices.
Use an Accounts Payable invoice to record an amount your organization owes to a vendor. Use an Accounts Receivable invoice to bill a customer.
1. Select New Invoice.
2. Choose Accounts Payable or Accounts Receivable.
3. Select the Vendor or Customer.
4. If applicable, use Import Line Items to bring in line items from sales orders or purchase orders.
5. Set the Due Date and enter any Notes.
6. Select Save Invoice.
Import order line items
After selecting a vendor or customer, Import Line Items displays order line items associated with that trade partner. For AP invoices, the selector groups available items by purchase order. For AR invoices, the equivalent workflow imports from sales orders. Select the line items that belong on the invoice.
Tip: You can select line items from more than one order when they belong on the same invoice. This keeps the invoice tied to the originating purchasing or sales records while avoiding duplicate entry.
Review and manage an invoice
Opening an invoice displays its lifecycle and activity on the left, with the invoice details, line items, transactions, and notes in the main panel.
Invoice lifecycle and payment status
Financials tracks two different states for an invoice:
• Invoice lifecycle: Draft, Open, and Closed.
• Payment status: reflects whether the invoice is unpaid, partially paid, paid, or overdue based on its balance and due date.
A new invoice begins in Draft. After review, select Submit to move the invoice forward. When the invoice is complete, it can be moved from Open to Closed. Status changes are recorded in Activity.
Important: Payment status and invoice lifecycle are independent. Recording the full payment can change Payment Status to Paid without automatically moving a Draft or Open invoice to Closed
Edit invoice information
Use Edit in the Invoice Details card to update invoice-level information. Use the pencil icon in Line Items to edit line items. The Transactions card lists payments recorded against the invoice, and the Notes card stores invoice notes.
Record a payment
Payments can be recorded directly from an invoice.
1. Open the invoice and select Record Payment.
2. Confirm the Transaction Date and select the Payment Method.
3. Optionally enter a Reference ID. This is useful for recording an external check number, bank reference, or other shared payment reference.
4. Select the appropriate financial accounts. For an AP payment, choose the AP Account (Liability) and Payment Account (Cash/Bank).
5. Enter the Payment Amount and an optional Description.
6. Select Save Transaction.
The transaction ID is generated automatically. After saving, the payment appears in the invoice’s Transactions card and is also available from the Financials Transactions tab.
Record a partial payment
Enter an amount lower than the invoice balance to record a partial payment. Financials keeps the remaining balance open and changes the payment status to Partially Paid.
Record another payment for the remaining balance when it is received or paid. When the remaining balance reaches $0.00, the payment status changes to Paid.
When the invoice is also progressed through its lifecycle, the Activity history records the status transitions in addition to the payment events.
Transactions
The Transactions tab provides a consolidated view of financial activity. The list can include AP payments, AR payments, non-invoiced transactions, and journal entries used to move amounts between GL accounts.
Common columns include Date, Transaction, Type, Reference ID, Amount, Payment Method, and Reconciled. The list supports the same search, filters, Saved Views, customizable columns, grouping, and export patterns used elsewhere in Financials.
Use Reference ID to associate multiple transaction records with the same external payment reference when needed. The Reconciled field supports bank-reconciliation workflows from the transaction list.
Review and reconcile a transaction
Open a transaction to review its full details and reconciliation status. The transaction detail page shows the transaction amount and type, Recorded/Reconciled status, date, payment method, reference information, notes, and the accounts affected by the transaction.
The General Ledger Impact section shows the debit and credit entries associated with the transaction. You can also use Related Documents to attach supporting files to the transaction.
Open the transaction from the Transactions tab.
Review the transaction date, payment method, reference, notes, and General Ledger Impact.
Select Reconcile in the left-side Details panel when the transaction has been matched to your financial records.
Ledger and GL Accounts
The Ledger tab groups financial activity by GL account and shows debits, credits, opening balances, and running balances. Expand an account to review the transactions that affect it.
Use New Account to create a GL account. Select transaction rows and use Change Account when a transaction needs to be assigned to a different account. The Ledger also provides an Import action for bringing in account data supported by your workflow.

Sales tax behavior
Sales tax is applied at the invoice line-item level. The invoice detail page includes a Sales Tax column and tax subtotal. If tax is not applied to a line item, that item is treated as tax exempt for reporting purposes. Tax jurisdictions can include ZIP Code information for jurisdiction reporting.
Permissions
Financials access is controlled by the Builds workspace permissions. Administrators can separately control access to accounting transactions and GL accounts, including view and edit permissions. If an action such as creating a transaction, recording a payment, or managing an account is unavailable, confirm that the user has the required Financials permissions.
Common questions
Why is a customer or vendor missing from the invoice form?
The trade partner must exist before it can be selected. Add or review the record in Builds Settings > Customers or Builds Settings > Vendors, then return to the invoice.
Why are no order line items available to import?
First confirm that the correct customer or vendor is selected. AP invoices import from purchase orders and AR invoices import from sales orders associated with that trade partner.
Why does the invoice say Paid but still show Draft or Open?
Payment status and invoice lifecycle are tracked separately. A payment can reduce the balance to $0.00 and set Payment Status to Paid without automatically submitting or closing the invoice. Progress the invoice lifecycle separately when appropriate.
Why is there still a Balance Remaining after I recorded a payment?
The recorded payment was less than the invoice total. Financials marks the invoice Partially Paid and keeps the remaining amount open until another payment is recorded.
Why does Sales Tax show “--” on a line item?
No sales tax has been applied to that line item. For reporting, a line item without tax is treated as tax exempt.
Why can I view Financials but not edit transactions or accounts?
Your role may have view-only access. Ask a workspace administrator to review your Accounting Transactions and GL Accounts permissions.
